<p>Here&#8217;s the problem. Most planners vet vendors the wrong way. They look at portfolios and pricing. They check reviews. They hop on a quick call.</p>



<p>What they <strong>don&#8217;t</strong> do is ask for the paperwork.</p>



<p>The documents a vendor has, or doesn&#8217;t have, tell you everything. They show you whether this is a real operation or a freelancer winging it. They tell you what happens when things go sideways. They protect your budget, your event, and, honestly, your job.</p>



<p>Here are the 5 documents worth asking for before you sign a single contract.</p>



<h2 class="wp-block-heading"><strong><mark style="background-color:rgba(0, 0, 0, 0)" class="has-inline-color has-luminous-vivid-orange-color">1. Operational Continuity &amp; Contingency Policy</mark></strong></h2>



<p><strong>Translation: </strong>What&#8217;s the plan when things go wrong?</p>



<p>Every vendor will tell you they&#8217;re reliable. Ask for the document that proves it.</p>



<p>An Operational Continuity Policy lays out exactly what happens when equipment breaks mid-event, when an artist misses a flight, when the venue loses power. Not in vague &#8220;we&#8217;ll figure it out&#8221; language. In writing.</p>



<p>This is the document that separates vendors who have <strong>been through things</strong> from vendors who are about to experience their first crisis at your event.</p>

<p><strong>Translation: </strong>If something breaks or someone gets hurt, who&#8217;s paying?</p>



<p>This one isn&#8217;t optional. It&#8217;s table stakes.</p>



<p>A legitimate vendor carries general liability insurance and, if they have employees or contractors working your event, workers&#8217; compensation coverage. They should be able to send you a Certificate of Insurance before the event, naming your organization as an additional insured.</p>



<p>If a vendor can&#8217;t produce a COI within 24 hours of being asked, that&#8217;s your answer right there.</p>

<p>ESG (Environmental, Social, and Governance) used to be something only Fortune 500 companies worried about. Not anymore.</p>



<p>Corporate procurement teams are increasingly requiring ESG compliance from vendors. Your sustainability commitments extend to who you hire. If a vendor uses toxic materials, has no labor standards, or can&#8217;t speak to their environmental practices, that reflects on your brand too.</p>



<p>An ESG statement doesn&#8217;t have to be 40 pages long. It should cover the basics: what materials they use, how they treat their workers, and whether they&#8217;ve thought beyond the transaction.</p>

<p><strong>Translation: </strong>Is this a company your company would be proud to work with?</p>



<p>Diversity, Equity, Inclusion, and Accessibility. Four words that matter a lot to HR departments, employee resource groups, and anyone who&#8217;s ever had to justify vendor selections to a DEI committee.</p>



<p>A solid DEIA policy tells you two things. First, that this vendor has thought about who&#8217;s on their team and whether it reflects the guests they&#8217;re serving. Second, that their services are actually accessible, not just physically, but in how their team interacts with a diverse group of people.</p>



<p>This matters even more when the vendor is customer-facing at your event. They&#8217;re a direct extension of your brand for the duration of that activation.</p>

<p>Anyone can call themselves a professional. The ones who actually are have paperwork.</p>



<p>This looks different depending on the vendor category. A catering company might have ServSafe certifications. An AV team might have manufacturer certifications on its equipment. A live entertainment vendor might have a proprietary training and certification program for their performers.</p>



<p>The point isn&#8217;t to collect certificates for the sake of it. The point is to understand whether this vendor has invested in making their team consistently good, or whether each event is a roll of the dice on whoever showed up that day.</p>

<p>Great vendors are easy to find.</p>



<p>Vendors who can prove they&#8217;re great? That&#8217;s a much shorter list.</p>



<p>The five documents above aren&#8217;t bureaucratic hoops. They&#8217;re the difference between a vendor who shows up and performs and one who shows up, breaks something, and leaves you explaining it to your leadership team.</p>



<p>The best vendors won&#8217;t be annoyed when you ask for these. They&#8217;ll already have them ready.</p>

<p>Today we will be discussing five of the biggest misconceptions about airbrush events.</p>
<h2>1. It’s graffiti!</h2>
<p>One of the absolute biggest myths about airbrush art is that it’s just graffiti. Graffiti is a movement that <a href="https://ed.ted.com/lessons/a-brief-history-of-graffiti-kelly-wall" target="_blank" rel="noopener noreferrer">started decades ago</a> and has evolved as time has gone on. It has been developed into current fashion and modern art, etc.</p>
<p>Airbrush artists can paint in the style of graffiti but airbrush uses a much more precise instrument.</p>
<p>Airbrush art doesn’t use aerosol cans of paint as graffiti does. It requires an airbrush, hence the name. The tool makes all the difference when comparing the two!</p>

<h2>2. Airbrush Events are messy!</h2>
<p>This misconception stems in some way from the last one. Airbrush art is not graffiti and our artists use an airbrush and our proprietary easel stations. This allows our stations to be tidy and neat.</p>
<p>Airbrush uses a very direct and clean approach actually very little paint is even used in airbrush art. Paint is not flying through the air. Airbrushed designs can be more fine-tuned then those you would make with aerosol. Plus there are lots of other benefits too.</p>
<p>You could have an airbrush event inside of a building as there are little to no fumes from the airbrush tool. The type of paint the artists use, dissipates quickly in the air if it doesn’t hit an item&#8217;s surface so there is no mess and no smell. In addition to this, the paints are non-toxic and water-based.</p>
<p>On top of that, Airbrush Events also carries liability insurance for any venues that may request it. We’ve had events in synagogues, Ritz Carlton and Disney properties and have never had any mess issues.</p>
<p>We are so confident in our artist’s training and precautions that we don’t use tarps or blankets on the floors, the damage would be on us, so we make sure there is absolutely no mess.</p>

<h2>3. The designs wash away</h2>
<p>Just because the paint used is water-based that doesn’t mean it’s temporary. All of the blends of paint we use stay very cleanly on the items to which they have been applied to.</p>
<p>Each airbrushed merchandise contains a special label with specialty care instructions. These instructions are very simple, they involve using a dry iron on the design to heat it up and to seal it even more permanently to the item that has been designed. If not done, the paint may fade slightly but certainly not wash away. In fact, your airbrushed merch will not bleed in the laundry.</p>
<p>Airbrush paint is a little like house paint, if you end up getting house paint on your pants that’s not coming out. So your designs are here to stay!</p>

<p>The Academy is for two groups: absolute beginners who want a clear path to start, and working or hobby artists who want to brush up on technique and speed. You will find step-by-step lessons, skill drills you can practice in short sessions, and coaching options for people who want live guidance.</p>



<p>At launch, the curriculum centers on real foundations. <p>The Airbrush Events team trip to Anaheim wasn’t just a business trip—it was a bonding experience, a first-time adventure for many, and a major corporate activation that brought together 10 of our artists from across the country.</p>

<h3 class="wp-block-heading"><strong>About the Event</strong></h3>



<p>This trip was all about showing up big for <strong>Boost Mobile</strong>. With <strong>875 guests</strong> and a venue at the Hilton Anaheim, this was one of our larger corporate events and one that required the full power of Team AE. Guests received live, personalized airbrush swag throughout the event, and while we can’t show you the magic in action, trust us this was one to remember.</p>

<li><strong>Guillermo</strong> – Calm under pressure, always consistent.<br></li>



<li><strong>Regis</strong> – A key player in keeping energy high at every booth.<br></li>



<li><strong>Martin</strong> – Brings both paint and personality.<br></li>



<li><strong>Casey</strong> – One of our newest artists and one of the few women on the team—quick with a smile and clean with her work.<br></li>

<p>And rounding out the team was our newest addition, <strong>Tim</strong>, experiencing <em>a lot</em> of firsts.</p>

<p>This wasn’t just Tim’s first Airbrush Events gig—it was his <strong>first time flying</strong>, <strong>first time in California</strong>, and <strong>first time working an event</strong> of this size.</p>



<p><em>“Everyone was extremely kind and nice. I’ve never had a first day like that. I felt truly blessed. The event went well, and I even got to stay a couple extra days. I couldn’t have asked for more.”</em></p>



<p>He soaked up the palm trees, enjoyed some beach time, and got fully initiated into the AE crew. Safe to say—we&#8217;re glad he’s here.</p>

<p>Before the event kicked off, Pete L., Guillermo, Taff, and Tim took a ride out to <strong>Laguna Beach</strong>. It was Tim’s first time seeing the Pacific, and Pete L. jumped right in.</p>

<p>Tim caught it on video, and the backdrop of the ocean didn’t disappoint.</p>

<h3 class="wp-block-heading"><strong>Pizza and IHOP</strong></h3>



<p>On night one, the team set out in search of a Cheesecake Factory—only to find it closed. That turned into a mile-long walk, dodging traffic Frogger-style, and ending at the only pizza spot still open.</p>

<p>The next morning, the entire crew hit <strong>IHOP for breakfast</strong>. It wasn’t glamorous, but it was classic—and a chance for everyone to fuel up and regroup before the event kicked into high gear.</p>

<p>Although no one made it into Disneyland proper, Takeshi managed to stop at <strong>Disney Springs</strong>, picking up a 70th anniversary Disneyland shirt for his daughter. A small, sweet keepsake from a big week.</p>

<p>After the event wrapped, the team returned to the hotel—only to find the <strong>Boost Mobile guests wearing the airbrushed hats</strong> they&#8217;d just painted.</p>

But the short answer is, nope—we don&#8217;t sell them. Let me tell you why.</p>



<h3 class="wp-block-heading"><strong>Why We Created Our Own Airbrush Kit</strong></h3>



<p>Our Airbrush Kit didn&#8217;t just pop out of thin air fully formed. It&#8217;s evolved significantly over the past decade, becoming what makes Airbrush Events truly unique. Initially, Pete Marin, our founder, built the first kits by hand right in his own garage. Back then, they were good but nowhere near the carefully engineered setups we use today.</p>



<p>Why did Pete even start custom-building kits? Well, our artists travel—a lot. And if you&#8217;ve ever flown with equipment, you know airlines can be a bit picky. To keep costs manageable, Pete had to get creative. Our kits had to weigh under 50 pounds and fit within the standard airline checked baggage size (62 inches total—length + width + height). Anything bigger or heavier meant extra fees and unhappy clients.</p>



<h3 class="wp-block-heading"><strong>The Evolution from Garage to Precision Engineering</strong></h3>

<p>So Pete got to work, meticulously designing an airbrush station that ticked all the boxes:</p>

<p>He even thought of details like putting the <a href="https://www.airbrushevents.com/best-airbrushing-air-compressor-senco/">compressor</a> into its own wheeled case, so the whole thing could stack and roll smoothly through airports and hotel lobbies—because nobody wants to lug heavy gear after a long flight.</p>



<p>What started in Pete’s garage, built by hand, soon evolved. Parts were standardized using precision CAD software, and machinist-made components replaced DIY solutions, significantly enhancing strength and durability.&nbsp;</p>



<p>We experimented—a lot—spending hundreds on trial and error to find accessories and parts that were rugged, affordable, and easy to transport. Imagine hundreds of dollars of “that didn’t work” moments, all to find those few components that actually did.</p>



<h3 class="wp-block-heading"><strong>Keeping Things Smooth on the Road</strong></h3>

<p>Today, every single part we use—from fittings to compressors—is tracked carefully in a spreadsheet (<a href="https://www.bizzabo.com/blog/productivity-tools-for-every-event-planner">shout-out to organization</a>!). Martin Ingram, our Equipment Manager, ensures every kit is assembled correctly, rugged enough for the road, and always in top shape. He keeps things running smoothly, quickly fixing anything that comes up, because downtime at an event isn’t an option.</p>



<p>Why all this fuss over equipment? Well, the stakes are high. If our gear fails, party favors don’t get painted, guests leave disappointed, and our reputation takes a hit. We take this seriously—nothing ruins a party like promised swag that doesn&#8217;t materialize.</p>
